Description:

Job Title: Sr. Executive – EXIM (Import & Export)

Experience: Minimum 5 Years

Education: Graduate (Preferred in Commerce, International Business, or related field)


Job Summary:

The Sr. Executive – EXIM will be responsible for managing end-to-end import and export operations, including documentation, freight coordination, shipment tracking, compliance with customs and banking regulations, and maintaining strong communication with vendors, freight forwarders, and internal departments. The role requires hands-on experience in handling international logistics and trade compliance processes.

 

Key Responsibilities:

Import Operations:

  • Prepare and verify pre-shipment documents (Invoice, Packing List, COO, COA) with suppliers.
  • Generate RFQs for freight quotations based on applicable Incoterms.
  • Nominate freight forwarders or share Air Waybill (AWB) details with suppliers.
  • Check final shipment documents: Invoice, Packing List, COO, COA, AWB/HBL.
  • Track shipments and update stakeholders.
  • Prefill Bill of Entry (BOE) upon receipt of complete documentation.
  • Share documents with CHA for customs clearance.
  • Confirm checklist and process duty payments.
  • Coordinate Out-of-Charge formalities and arrange local transport.

Export Operations:

  • Prepare Proforma Invoices (PFI) considering Incoterms (CIF, FOB, Ex-Works).
  • Nominate freight forwarder after order confirmation.
  • Manage container allotment and stuffing coordination.
  • Prepare shipment documents: Invoice, Packing List, IEC, GST, VGM, e-Invoice, e-Waybill.
  • Verify carton weights and stuffing details.
  • Finalize checklist and oversee customs clearance process.
  • File Shipping Bill (SB), VGM, verify seal numbers.
  • Cross-check HBL and share shipment documents with customers/suppliers.
  • Dispatch original documents if needed.
  • Upload shipping documents in SAP.

Other Import/Export Tasks:

  • Prepare E-BRC and Inward Remittance documentation.
  • Maintain records for overseas customer accounts.
  • Work on export incentives and EPCG license documentation.
  • Handle import supplier payments and ensure compliance.
  • Submit import proof to banks and close pending BOEs.
  • Ensure RBI and other regulatory compliances.
  • Coordinate L/C & TT related documentation with banks.
  • Declare shipments for insurance coverage.

Key Skills Required:

  • Strong knowledge of international trade, customs, and Incoterms.
  • Hands-on experience with BOE, SB, CHA coordination, and DGFT compliance.
  • Proficiency in MS Office and ERP systems (SAP preferred).
  • Good communication and coordination skills.
  • Familiarity with bank documentation, E-BRC, and RBI regulations.
  • Attention to detail and ability to manage multiple shipments efficiently.
